Introduction

Dreammind Group respects the privacy of applicants, members, guests, and website visitors. We seek to collect only the personal information reasonably necessary to administer the membership program, verify identity, provide membership privileges and services, maintain security, and satisfy applicable legal requirements.

We do not sell personal information. We do not use membership information for unrelated advertising, profiling, or third-party marketing unless the individual has provided appropriate authorization and the practice has been confirmed by Dreammind Group.

02

Who we are

Cellars at the Registry is a private members’ hospitality concept operated by Dreammind Group in Ottawa, Ontario. Dreammind Group determines why and how personal information relating to the Cellars membership program is collected and used.

Hazify Marketing Solutions Inc. supports website development and implementation. It is not the owner or controller of member information.

03

Scope of this Policy

This Policy applies to personal information handled by Dreammind Group through the Cellars website, membership application process, member portal, communications relating to membership, access-management processes, and digital membership credentials. It does not replace the privacy terms of third-party services that an individual chooses or is directed to use.

The precise Canadian privacy laws applicable to each activity depend on the circumstances. This Policy is structured around generally recognized Canadian private-sector privacy principles without representing that any particular statute applies in every circumstance.

04

Information we collect

Membership application information

Depending on the application process, we may collect information such as name, contact details, confirmation that the applicant is at least 25 years old, occupation or professional information, an Instagram account or handle where requested, application responses, communication preferences, and other information an applicant chooses to provide.

Account and identity information

We may collect account identifiers, contact information, login-related records, membership number, status, start or renewal dates, profile details, and information reasonably required to confirm that a person is the authorized member. If identity documentation is requested, the collection notice presented at that time will explain the purpose and handling of that information.

Membership activity and access information

We may process records relating to membership privileges, reservations or visits where implemented, credential issuance and use, access attempts, account support, and suspected misuse.

Communications

We may retain enquiries, requests, preferences, complaints, and other communications sent to Dreammind Group or its authorized service providers.

Automatically collected website information

Web servers and approved service providers may receive technical information such as IP address, browser and device type, referring page, pages visited, timestamps, and diagnostic or security events.

05

How we use personal information

Dreammind Group may use personal information for legitimate and identified membership-administration purposes, including to:

  • receive and review membership applications;
  • approve or decline applicants in accordance with membership policies and applicable law;
  • create, maintain, and support member accounts;
  • confirm identity and membership status;
  • maintain accurate membership records;
  • provide membership privileges, services, and relevant operational communications;
  • manage access to Cellars at the Registry;
  • issue and administer approved digital membership credentials;
  • prevent misuse, fraud, unauthorized access, credential sharing, or impersonation;
  • maintain the security and integrity of the website and membership program;
  • respond to enquiries, access requests, corrections, and complaints; and
  • comply with applicable legal, regulatory, accounting, and record-keeping requirements.

If Dreammind Group proposes a materially new use, it will assess whether additional notice or consent is required before proceeding.

Application review

Applications may be reviewed by authorized Dreammind Group personnel and approved service providers who require access for their assigned functions. Submitting an application does not guarantee membership. Decisions are made in accordance with applicable law and Dreammind Group’s membership policies.

06

How information is shared

Dreammind Group may disclose personal information only as reasonably necessary for the purposes described in this Policy, including to authorized personnel, technology and hosting providers, professional advisers, security or access-management providers, and government or law-enforcement authorities where legally required or permitted.

Service providers are expected to process information for the services they provide and not for unrelated purposes. Dreammind Group uses contractual and organizational measures appropriate to the sensitivity of the information.

Personal information may also be transferred as part of a proposed or completed business transaction, subject to appropriate confidentiality and legal requirements.

07

PeopleVine and other service providers

Dreammind Group uses PeopleVine as a third-party technology provider supporting membership management and related functions. Information may be submitted directly to, hosted by, or processed through PeopleVine on Dreammind Group’s behalf. Dreammind Group determines the purposes for which Cellars membership information is collected and used.

PeopleVine’s own privacy practices, terms, security policies, and infrastructure may also apply when its services are used.

Service providers may process information outside Ontario or Canada. If that occurs, information may be subject to the laws of the jurisdiction where it is processed and may be accessible to courts, law-enforcement, or national-security authorities in that jurisdiction.

08

Cookies and similar technologies

The website may use cookies or comparable technologies that are necessary for navigation, security, preferences, account sessions, or approved analytics. Where required, choices will be provided for technologies that are not necessary to deliver a requested service.

Browser settings may permit users to block or delete cookies, although doing so may affect functions that depend on them.

09

Data storage and retention

Dreammind Group retains personal information only for as long as reasonably necessary for the identified purposes, including application review, membership administration, security, dispute resolution, and applicable legal or record-keeping obligations. Information that is no longer required is securely deleted, destroyed, or anonymized, subject to technical and legal limitations.

10

Information security

Dreammind Group uses administrative, technical, and physical safeguards appropriate to the sensitivity, amount, format, and use of personal information. No system is completely secure, and we cannot guarantee that unauthorized access, loss, or misuse will never occur.

Member responsibilities

Members are responsible for keeping login credentials and devices secure, using unique passwords where available, logging out of shared devices, and promptly reporting suspected account or credential misuse. Dreammind Group will never ask a member to disclose a password through an unsolicited message.

11

Your choices and privacy rights

Access and correction

Individuals may request access to personal information Dreammind Group holds about them and ask that inaccurate or incomplete information be corrected. Dreammind Group may need to verify identity and may lawfully limit access in certain circumstances. If access is refused, the reason and available recourse will be explained where required.

Withdrawal of consent

Where processing relies on consent, an individual may withdraw consent subject to legal or contractual restrictions and reasonable notice. Withdrawal may prevent Dreammind Group from assessing an application, maintaining membership, providing a requested service, or verifying authorized access. Dreammind Group will explain material consequences when a request is made.

Questions and complaints

Individuals may contact the Privacy Officer with a question, concern, access request, or complaint. They may also have the right to contact an applicable privacy regulator.

12

Membership applicants must be at least 25 years old. The membership application process is not intended for minors, and Dreammind Group does not knowingly solicit membership application information from anyone under 18.

13

The website may link to external websites or services. Their privacy practices and content are controlled by their respective operators. Individuals should review the privacy information presented by a third party before providing information directly to it.

14

Changes to this Policy

Dreammind Group may update this Policy to reflect changes in the membership program, technology, service providers, or applicable requirements. The revised version will display an updated date. Where required, material changes will be brought to affected individuals’ attention and additional consent will be requested.
